This Privacy Policy explains how VSAR Technologies Private Limited ("Velocity", "we", "us", or "our") collects, uses, discloses, and protects information when you visit velocity.travel, contact us, or use our corporate travel and event services, including our products Zippy and Flow (together, the "Services"). We are the data fiduciary responsible for your personal data under India's Digital Personal Data Protection Act, 2023 and applicable rules under the Information Technology Act, 2000.

By using our Services or submitting information to us, you agree to this Policy. If you do not agree, please do not use the Services.

Who we are

Velocity is a business-to-business corporate travel and event management platform operated by VSAR Technologies Private Limited, incorporated in India. Our Services are intended for businesses and their authorised personnel, not for consumer or personal-travel bookings.

Information we collect

We collect information in the following ways:

Information you give us. When you fill in a form, request a demo, join a waitlist, or contact us, we collect your name, business email, phone number, company name, and any message or details you choose to share.

Traveller and booking information. When your organisation uses our Services, we process information required to arrange travel and events, for example traveller names, contact details, travel preferences, government-issued identification where required for ticketing or visas, itineraries, and expense and invoice data. This information is typically provided by your employer or by you on your employer's behalf.

Information collected automatically. When you visit our website we automatically collect certain technical information such as your IP address, browser type, device information, pages visited, and referring source. We collect this through cookies and similar technologies (see our Cookie Policy).

Information from partners. We may receive booking-related information from airline, hotel, and travel-distribution partners in order to fulfil and support your bookings.

How we use your information

We use personal data to: respond to enquiries and provide requested demos; provide, operate, and improve the Services; arrange, confirm, and support travel bookings and events; process invoices, expenses, and reconciliations; provide customer and traveller support; comply with legal, tax, and regulatory obligations, including GST requirements; detect and prevent fraud and misuse; and communicate service updates and, where permitted, relevant information about our Services.

We process personal data on the basis of your consent, the performance of our contract with your organisation, our legitimate business interests in operating and improving the Services, and compliance with legal obligations.

How we share your information

We do not sell your personal data. We share information only as needed to run the Services:

Travel and event suppliers - airlines, hotels, ground transport, visa processors, insurers, and venues - to fulfil your bookings.

Technology service providers who host and support our platform, including cloud infrastructure and database providers, email delivery providers, and communication tools. These providers process data on our instructions under appropriate confidentiality and security obligations.

Your organisation, where you travel or book under a corporate account, relevant booking, expense, and compliance information is shared with your employer's authorised administrators.

Legal and regulatory authorities where required by law, court order, or to protect our rights, users, or the public.

Some of our suppliers and service providers may be located outside India. Where personal data is transferred internationally, we take reasonable steps to ensure it is protected in accordance with applicable law.

Data retention

We retain personal data for as long as necessary to provide the Services, maintain business and booking records, and comply with legal, tax, and accounting obligations. When data is no longer required, we take reasonable steps to delete or anonymise it.

Security

We implement reasonable technical and organisational security measures designed to protect personal data against unauthorised access, disclosure, alteration, and loss. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your rights

Subject to applicable law, you have the right to access the personal data we hold about you, request correction of inaccurate data, request erasure, withdraw consent where processing is based on consent, and raise a grievance. Where you have provided information on behalf of your organisation, some requests may need to be directed through your organisation's administrator.

Children

Our Services are intended for businesses and their personnel and are not directed at children. We do not knowingly collect personal data from children.

If you have questions, concerns, or complaints about how we handle your personal data, you may contact our grievance officer at legal@velocity.travel. We will acknowledge and address grievances within the timelines required under applicable Indian law.
